Action Types
Action Types are used to define the worflow involved with resolving a Concern. Click the Add button to define a new Action Type. Double-click an Action Type to edit or select on and click the Edit button. An Action is defined with the following settings:
- Action Type = The descriptive title of the Action
Examples include:
- Customer Letter
- Phone Call
- Fax
- Email
- Action Request
- Corrective Action
- Corrective Action - Supplier
- Preventive Action
- Approval Request
- Product Inspection
- Meeting
- Due Days = The number of default days for the Action to be completed and closed
- Reply Type = One of the following formats:
- None is an Action that does not expect a reply, such as a customer letter
The Action is automatically closed when an email message is sent by clicking the Send Notice button and then the Email button.
- Response is an Action in which a response is expected and recorded in a separate text area on the Action page.
- Corrective Action is a Corrective Action Request (CAR) form that may be customized in Configuration | Corrective Actions. Use this customization to match your existing terminology, to satisfy ISO requirements or to meet other industry-specific standards. When tracking Preventive Actions independently of Corrective Actions, the Section Names can be customized with common terminology for both forms.
- Interview is designed with a User selection field for the Interviewee Name and it consists of two text areas labeled Purpose and Interview.
The Concern Owner generating the Action request will select the Action Type and assign an Action Owner. If a Supplier or Distributor has been selected on the Reference Tab, then they can be assigned Actions. Only the Concern Owner and users with the User Group option to Re-Assign Actions will have the privilege to change ownership of an assigned Action. An Action that is completed must be closed by selecting the Action Closed checkbox. If a closed Action is re-opened, a pop-up window will provide the option, “Retain Prior Closed Date” to keep the original Closed date.
