User Defined Fields
A total of 50 User Defined Fields are available. User defined fields will be available for data analysis via Queries once they are enabled. The maximum field length is 30 characters.
To enable a user defined field, click on the numbered ( 1...10 ) button to open the field definition window.

- Data Name is the descriptive text that will appear next to the field, maximum 16 characters. The default (blank) will keep the field disabled for unused fields which also keeps visibility of the field hidden from end users. Unused fields remain available to enable for future purposes.
- Data Type will determine the entry format for the field.
- Alpha Numeric = letters and numbers (default)
- Alpha Only = only letters
- Numeric Only = numbers only, adds the option to total on Numeric Only fields in Queries
- Date = mm/dd/yyyy, adds a pop-up calendar to the field
- Phone Number = default 10 digit format is (123) 456-7890, will accept any other phone number format
- Time = hh:mm:ss
- Justify alignment of the field on screen.
- Character Limit is a numeric value to limit data entry and properly size the field. The default (0) will automatically revert to the maximum of 30
characters if the field is enabled.
- Decimals are optional for numeric fields. For example, a value of 2 will format a numeric field for a monetary dollar/cents value.
- Required field settings are optional for each User Defined Field within the Concern Notebook Tabs can be specified as:
- Optional (default)
- To Close
- To Save
- User Selection List enables selection of a name from the list of active Users defined in Setup | User Information | Users.
- Drop Down List enables the field with a maximum of 3000 characters for the entire list. Each item is a single row of text in the text area. Press the Enter key between each item to create the list in the Enter List text box. The User's view of the list is automatically alphabetized. To create an ordered list, insert a number or letter for each list item, 1..2..3..,A..B..C..
