Data Names
Customize the terminology for Data Names. Modified names will appear throughout the Everest View Menu, Reports and Queries. Modified names will not appear in the Setup or Configuration Menus, (except Defect Classifications). Keywords used in Notification Templates remain unchanged.
Optional Data Names include the Omit check box to disable the Data Name and the related functionality. Data Names are grouped into categories:
- Accounts
- Account List displays full Address and Zip Code
When Site Description is omitted in the Setup, the full Account Address and Zip Code are displayed in the Account List instead of a Site Description.
- Account Rep / Service Rep
Assigns 1 or 2 Users with the Account Rep / Service Rep option enabled in the User's profile. For Imports, this relationship is based on a matching User Id for the Account Rep / Service Rep in Setup | User Information | Users. Associate the matching User Id in the field where it will correspond to the related Account data being imported. See related topic: Setup | Imports. Additional features include:
- Reports / Charts / Queries by Account Rep / Service Rep
- Option to Cc: email messages to the designated Account Rep or Service Rep from an Action email notice
- Concerns
- Summary is derived from the first sentence typed into the Detail Description
On the Concern Tab, the Summary Description is a one-line text box intended to provide Users with a place to type a brief description of the Concern separately from the text typed into the Detail Description. When Summary Description is omitted in the Setup, the Summary is derived from the first complete sentence if a period is found within the first 70 characters, otherwise it is derived from a maximum of the first 70 characters. The one-line Summary Description is used within the application in several ways:
- Itemized list of Concerns in the Account View
- Itemized list of Concerns in Concerns by Owner
- Database keyword [Summary] used in Notifications
- Reports where the Summary Description appears
- Products
- Lot Number
The Lot Number field will not allow duplicate values within the same Concern. The database fields for Quantity Shipped and Quantity Defective are intended to itemize multiple product items involving the same Lot Number. An alternative approach is to omit the default Lot Number field and specify a User Defined Field for the purpose of capturing a Lot Number.
- Defects
- Defect Classifications (Product Tab required)
Defect Classifications appear on the Product Tab to enable a detailed list of product-related problem codes. Multiple Defect Codes may be associated with each Product. Defect Classifications can be omitted completely or defined in one, two or three levels. See Setup | Product Information | Defect Classifications. Additional features include:
- Ability to associate one or multiple Defect Codes with each Product
- Reports / Charts / Queries with Defect Codes (chart drill-down feature)
- Defect Findings (Product Tab required)
Defect Findings provide a final classification for each Defect or they can be omitted. Defect Findings appear on the Product Tab as an additional field associated with Defect Classifications. The values for the Defect Findings selection list values are defined in Setup | Product Information | Defect Findings.
- Other Data Names
- Supplier / Distributor
1 or 2 other Accounts may be associated within a Concern on the Reference Tab. The relationship of the available Accounts is created by the name of the Account Type matching the Data Name, i.e. Account Type = Supplier, Distributor. When the Supplier / Distributor default Data Names are replaced, the terminology must also be consistent with the Account Types defined in Setup | Drop Down Lists. Additional features include:
- Ability to associate a Supplier / Distributor to a Concern
- Reports / Charts / Queries by Supplier / Distributor
- Action or Corrective Action assignment to a Supplier Contact / Distributor Contact
- Return Location (Returns Tab required)
A drop down list of Return Locations on the Returns Tab specified in Setup | User Information | Locations
- Repair Location (Repairs Tab required)
A drop down list of Repair Locations on the Repairs Tab as specified in Setup | User Information | Locations
- Repair Equipment
Enables Account Equipment to be selected from an Account Equipment list (or a global Equipment List) into a Concern from the Repairs Tab. Alternatively, omit the Repair Equipment and Repair Location to completely repurpose the Repairs Tab (12 User Defined Fields) within the Concern Notebook.
- Sensitive
The default label identifies the optional Sensitive checkbox which will appear on the Concern Tab for users to enable/disable Sensitive status for a Concern. Examples of other terminology used for this Data Name is Confidential or Legal Only.
Queries Sort on Data Names
Any field selected as a Sort By in Queries must be removed from the Sort
Key list before the Data Name for that field is changed. If the Data
Name is changed first, any Queries using that field as a Sort By filter
will fail to run properly because the Sort Key in Queries is not updated
based on a Data Name changed in Configuration. To correct this
problem:
- The old Data Name that appears in the Sort Key will need to be temporarily restored in Configuration | Data Names
- Edit the Query to uncheck the Sort By selection for that field so it is removed from the Sort Key
- Save the Query
- Return to Configuration | Data Names to save the new Data Name
- Edit the Query once more to re-enable the Sort By for the field
- Save the Query
