Add and Edit Templates

Add Notification
A notification template is saved in Setup | Notification Titles | Notification Titles | Add button. 


Instead of using an example template, it is usually preferable to start with a copy of an existing template that is already formatted and customized to your needs. The process is 3 steps:
1. Download and save a new copy of an existing template. 2. Upload this new template with a new name into Everest. 3. Edit the new template in Everest to customize it.

PART 1: Save an Existing Template Copy

Step-by-Step Instructions

  1. Go to; Administration | Notifications | Notification Titles.
  2. Select a Notice Title in the list and click the Edit button (double-clicking on a Notice Title also works).
  3. Choose the Download Template button to save a copy of the Template.
  4. Choose Save As (select the down arrow instead of Save) so that you can rename it templatename.htm when saving it and choose the location where it is saved.

NOTE: It is recommended to repeat this process so that you have a local backup copy of all your final Notification Templates.

PART 2: Add New Template

Step-by-Step Instructions

  1. Go to Setup | Notification Templates | Notification Titles, and choose the Add button.
  2. Define the Notice Title by typing a plain text name (this is the name that appears in the drop down list of Notifications for Users).
  3. Choose the Browse button to import the notice.
  4. Find and select the templatename.htm file and choose the Open button. 
  5. Select the appropriate checkbox(es) to make the Notification available within Everest depending on the purpose it has been designed for:
    • Actions
    • Returns
    • Activities
    • Closure
  6. Choose the Save button to finish.

PART 3: Edit Notification

                    Step-by-Step Instructions

      1. Go to Setup | Notification Templates | Notification Titles.
      2. Select a Notice Title in the list and choose the Edit button (double-clicking on a Notice Title also works).
      3. Choose the Edit Template button opens the Template Editor.
      4. Choose the Save button to save changes and exit..

HTML Format
Notification Templates must be saved as HTML (hyper text markup language). This file type will have the ".htm" or ".html" extension.  Use the built-in editor in Everest to create and edit templates. Advanced users who are familiar with HTML code may use an external program such as a text editor or an HTML editor. Microsoft® WordTM is not supported because it does not save compatible files in the HTML standard format. Copy/paste plain text into Everest when the text is sourced from another document in WordTM or other formats.

Keywords
Everest includes embedded Keywords that automatically insert field data from the database into the notification when it is generated.  Keywords are recognized by the presence of left and right square brackets, i.e. [keyword].  Go to Keywords for a print-ready list.  Keywords can be manually inserted by typing them or copy/paste them from the list of Everest Keywords. The built-in editor also contains an alphabetical list of all keywords, opened by choosing the “Key” icon in the toolbar. The selected keyword will be inserted where the cursor is currently positioned in the editor.  Each database [keyword] will appear in the template editor enclosed within brackets.  

Images
Logos or other image files can be saved within Notification Templates to further customize them.  Preferred image file types are [.gif .jpg .png .bmp].  As a general rule, images should be optimized (smaller file sizes) in order to maintain optimal performance for end users utilizing the notifications.  To insert an image into a template, choose the Image button on the toolbar in the Everest editor.

Quick Link URL
Hyperlinks saved in Notification Templates are clickable when the template is used to generate an email message.  Include the Quick Link or Quick List URL format in saved Notification Templates and the email messages will contain a hyperlink to open Everest and display the matching record requested after the User logs in.

Default Templates for Actions
When Action Types are defined in Setup | Action Types, a default Notification Template can be selected from those available for Actions (checkbox).  The default Notification will be generated automatically whenever the Send Notice button is used in that type of Action.  When a default is specified, a User will still have the option to choose any of the other Notifications available for Actions by selecting a different one from the drop down list.  When no default is specified for an Action Type, a blank window will appear and the User will need to select a Notification from the drop down list.

How and Where Templates are Saved
When Notifications are imported into Everest they are copied into the Everest database.
It is recommended for each template to choose the Edit button and Download Template button to save a local backup copy of all your final Notification Templates.

How to generate a list of multiple products with related field data
Custom product lists can be generated within templates by typing tab separated keywords, creating a multi-keyword string.  The keyword for a product list must start with an open bracket and the Keyword ‘Product’.  This is the reference that will link the fields together for the table.  The keywords must begin with an open bracket and end with a closing bracket.  When creating a product multi-keyword string, each keyword must be separated by a comma (no spaces)
.  The list must be stand alone and can not be embedded within a sentence or paragraph.

The number of columns are limited to the width of the page.  For results to appear as intended when they are inserted by a keyword into a template, consider the length of the text that may be inserted for each of the keywords used.
