Notification Titles

Notifications for letters and email messages are generated using Notification Templates with automatic field data insertion using database keywords.

Examples:

  • A new Concern Owner has been assigned
  • Actions are carried out (i.e. a letter to the customer)
  • Action Requests are assigned
  • Return Authorizations are generated
  • Reminder notices, Past Due notices and Escalation notices via the Event Manager
  • Sales Activities and Email Campaigns via Send Mail
  • Close Notice when a Concern is closed

    HTML Templates
    Notification Templates are files saved in HTML format with a ".htm" or ".html" extension.  Templates are saved in the Everest database by clicking on Setup | Notification Templates | Notification Titles | Add and selecting the desired Notification template file.     

    Embedded keywords automatically insert field data from the database into the notification when it is generated.  Keywords are recognized by the presence of left and right brackets, i.e. [keyword].  See Everest Keywords for a print-ready list.  Keywords can be copy/pasted from the list in the Help or they can be inserted from a selection list by clicking on the Keyword Icon on the Template Editor toolbar. Keywords can also be manually inserted into templates by typing them.
  • Template Editor
    Templates should be edited and saved using the built-in editor for consistent results.

    1. Go to: Setup | Notifications | Notification Titles
    2. Double-click on a saved Template in the list
    3. Click the Edit Template button
    4. Type or paste text (plain-text only)
    5. Click the Save icon to save changes
    6. Click the 'X' to close the window and exit

    Logos or other image files can be saved within Notification Templates to further customize them.  Preferred image file types are [.gif .jpg .bmp]. As a general rule, images should be optimized (smaller file sizes) in order to maintain optimal performance for end users utilizing the notifications.   HTML formatting is not preserved if an email message is viewed in plain-text format. 

    QuickLink URL feature
    A QuickLink URL format in saved Notification Templates enables a User to click on the hyperlink to display the record request automatically after the User logs in.

    Save a Template
    Once the Notification Templates have been created, they are imported into Everest using the Notifications setup window.  

    1. Create the Notification with the built-in Template Editor, text editor or HTML editor. Microsoft® Word is not a supported editor.
    2. Save the Notification in HTML format (filename.htm). and remember where it is saved
          NOTE: The name of the filename.htm template should be alpha/numeric and must not exceed 30 characters
    3. Click on Setup | Notification Templates | Notification Titles | Add button
    4. Define the Notice Title by typing a plain text name
      • The name appears in the drop down list of Notifications for Users
      • The name is automatically inserted into the Subject for email messages generated from the template in this format; "Notice Title" for Control Id [ControlNo].
    5. Import the Notice by clicking on the Browse button.  
    6. Browse your local drive or network and click to select the .htm file
    7. Click the Open button to continue
    8. Click on the appropriate checkbox(es) to make the Notification available within Everest depending on the purpose it has been designed for:
      • Actions
      • Returns
      • Activities
      • Closure

    Default Templates for Actions
    When Action Types are defined in Setup | Actions, a default Notification Template can be selected from those available for Actions (checkbox).  The default Notification will be generated automatically whenever the Send Notice button is clicked within that type of Action.  When a default is specified, a User may always choose to use any of the other Notifications available for Actions by selecting one from a drop down list.  When no default is specified for an Action Type, a blank window will appear and the User will need to select a Notification from the drop down list.

    How and Where Templates are Saved
    When Notifications are imported into Everest they are copied into the Everest database.  When Notifications are edited the changes will not take effect until they are imported again by re-saving them.

    How to generate a list of multiple products with related field data
    Custom product lists can be generated within templates by typing the keywords separated by a comma to create a multi-keyword string.  Begin with an open bracket and the Keyword ‘Product’.  This is the reference that will link the fields together for the table.  The keyword string begins with an open bracket and ends with a closing bracket.  To accomodate a list of multiple products, this keyword format must stand alone and can not be embedded within another sentence or paragraph. 

    Example
    The following products have been authorized for return:

    [Product,ProdDesc,DefectQty]

    NOTE: The number of columns are limited to the width of the page.  For results to appear as intended when they are inserted by a keyword into a template, consider the length of the text that may be inserted for each of the keywords used.
